401(k) RFP Process

IDENTIFY

Many companies mistakenly base their vendor selection on investment considerations alone. Of course, you want a program that offers investment vehicles with good track records and appropriate risk. However, our experience shows that the most common reason for leaving a vendor is poor administration. To create a long-term relationship, you need a vendor that is committed to serving the particular needs of your company and your employee population.

We begin with the "Wish List Worksheet", which will help you focus on the particular needs of your employee population based on your company’s corporate culture. A company’s culture usually stems from its line of business. Depending on whether your company is involved in manufacturing, wholesaling, exporting, distributing, or retailing, you will have distinct employee demographics. Your 401(k) needs will depend mainly upon your employee population.

For example, if you have three different work shifts, with work being done around-the-clock you may want your employees to have extensive telephone and internet access to their accounts, even during non-working hours. If you employ a highly skilled workforce, your participating employees may benefit from compensation in unusual assets, such as closely held stock, or they may wish to invest in atypical 401(k) assets such as REITS and limited partnerships or brokerage directed accounts. If your workforce is mature, with an average age of 40 or 50, you may want a vendor that has extensive pre-retirement counseling services.

 
COMPARE

After you determine your needs, how will you find the right vendor? In an attempt to standardize information and translate unnecessary industry jargon into plain, understandable language, we will ask each vendor a uniform set of straightforward questions. This provides a clear basis of comparison, which will allow you to determine which vendors offer 24-hour telephone inquiry, accept unique assets, present pre-retirement seminars, or provide whatever other services you might need.
ESTIMATE
Each 401(k) vendor prices its product differently. Even minor distinctions in pricing systems can significantly affect the long-term cost of your plan and your employee’s retirement wealth. It seems that every nook and cranny of a 401(k) incurs another cost creating a confusing tangle of investment fees, testing fees, transaction fees, etc. Again, we have standardized all information about administrative and investment fees. Also, we provide the "Fee Calculator Worksheet" to help you estimate the actual cost of each 401(k) program based on your employee population and each vendor’s pricing structure.
REQUEST
Once you select your final candidates, we will be ready to contact these potential vendors. To help with this we we’ll develop a customized "401(k) Program Request for Bid Form" to fax or email to vendor finalists. You have done your homework, now it’s time for them to do theirs.
FOLLOW UP
In making your final selection, you will need to use your own good judgement. We will set up interviews with the final candidates and you can question in detail each vendor’s ability to meet your company’s and employees’ needs. When you’ve made your final decision, the "Follow-Up Checklist" will help you keep track of the implementation process. Review the "Follow-Up Checklist" with your new vendor to develop an implementation schedule.
